How to connect your email with an App Password

Paid Repairior plans let you send unlimited review invitations from your own email address. Emails leave from your own mailbox, appear in your Sent folder and replies come straight back to you. To connect safely you use an App Password — a separate 16-character password that only works for sending email and that you can delete at any time. You never give us your real password.

Before you start

  • You need 2-Step Verification (two-factor sign-in) turned on — App Passwords only exist when it is on.
  • Use the mailbox your customers know, e.g. [email protected] or your business Gmail.
  • Keep the App Password secret. If you ever think it leaked, delete it in your email account and create a new one.

Gmail (personal @gmail.com)

  1. Go to myaccount.google.com/security and turn on 2-Step Verification.
  2. Open myaccount.google.com/apppasswords (sign in again if asked).
  3. Type a name such as Repairior and click Create.
  4. Google shows a 16-character password (4 groups of 4 letters). Copy it — spaces don’t matter.
  5. In Repairior: Dashboard → Get reviews → Connect my email, choose Google, enter your Gmail address, paste the App Password and click Connect & test.

Google Workspace (your company domain on Google)

The steps are the same as Gmail. If you don’t see “App passwords”, your Workspace administrator must allow them: Google Admin console → Security → Authentication → 2-Step Verification (allow users to turn it on) — App Passwords then appear for each user. Workspace sends up to about 2,000 emails a day.

Microsoft 365 / Outlook for business

  1. Your Microsoft 365 administrator must allow SMTP AUTH for your mailbox: Microsoft 365 admin center → Users → Active users → your user → Mail → Manage email apps → tick Authenticated SMTP.
  2. Turn on multi-factor sign-in, then open mysignins.microsoft.com/security-info → Add sign-in method → App password (only shown if your admin allows app passwords).
  3. In Repairior, choose Outlook / Microsoft 365, enter your email and the App Password.

Note: Microsoft is switching this kind of sign-in off by default for business accounts from the end of 2026, and personal Outlook.com / Hotmail addresses no longer allow App Passwords for sending. If Microsoft blocks the connection, use Gmail, Google Workspace, Zoho or your web host’s email instead.

Yahoo Mail

  1. Sign in at login.yahoo.com/account/security and turn on 2-step verification.
  2. Click Generate app password (or “Other ways to sign in” → App passwords), name it Repairior and copy the password.
  3. In Repairior, choose Yahoo Mail.

Zoho Mail

  1. Open accounts.zoho.com → Security → App Passwords (2-factor must be on).
  2. Click Generate New Password, name it Repairior, copy it.
  3. In Repairior, choose Zoho Mail. Paid Zoho organisations: choose Other and use server smtppro.zoho.com, port 465, SSL.

Any other email (your web host, cPanel, IONOS, GoDaddy…)

Choose Other (custom SMTP) and enter the outgoing (SMTP) server your email provider gives you — usually mail.yourdomain.com, port 587 with TLS or 465 with SSL — and your normal mailbox password (or an app password if your host offers one).

If the test fails

  • “Could not authenticate” — you pasted your normal password instead of the App Password, or the email address has a typo.
  • App passwords option missing — 2-Step Verification is off, or your company administrator has disabled App Passwords.
  • Works, then stops — you changed your main password (Google deletes App Passwords when you do). Create a new one and click Change mailbox.
  • Still stuck? Email [email protected] and we’ll help.

Good to know

  • Only invite real customers you worked for. Never offer gifts or discounts for reviews.
  • Every invitation includes an unsubscribe link; people who unsubscribe are never emailed again.
  • Gmail allows about 500 emails a day — set a daily maximum in the form so your mailbox stays healthy.
